Scheduled email digests with routines Beginner
A routine is a task your bot does on a schedule. Set one up and your bot sends you a morning or end-of-day digest of important mail.
What you'll learn
- What a routine is
- How to set up a daily digest
- Testing and adjusting
Before you start
- The Grok Bot app, installed and signed in. New? See where to download it and installing and signing in.
- Gmail or Outlook connected.
- A summary format you like (see this guide).
1. What a routine is
A routine tells one bot when to run a job, on a schedule or after a supported event. Routines run in the cloud even when your laptop is closed. A bot's routines are listed in its info pane. (Background: Quick Start: Routines.)
2. Set one up
- Do the task once by hand and get the format right.
- Ask the bot that should own it:
Every weekday at 7:30 AM Central, summarize my unread email from the last 24 hours, urgent first, and post it in this chat. Don't reply to anything.
- Confirm the schedule, time zone and what it should do if mail can't be reached.
3. Check and tweak
After the first run, adjust: "Skip newsletters", "Include orders". Deleting a routine stops future runs and can't be undone.
Ideas to try
- Store owner.
Every evening at 6, list today's orders and customer emails I haven't answered.
- Commuter.
Weekdays at 7, give me a 5-bullet summary of overnight email.
- Bills.
Every Monday, list bills that arrived last week with due dates.
- Freelancer.
Every Friday, summarize client conversations from the week.
Tips
- Keep digests short; ask for "top 10".
- Include links back to each email.
- If a source is down, the routine should say so, not guess.
