Auto-sorting and labeling email Intermediate
Have your bot sort mail into categories like orders, support, invoices and junk, using Gmail labels or Outlook folders and categories.
What you'll learn
- Choosing categories
- Applying labels or folders
- Running it regularly
Before you start
- The Grok Bot app, installed and signed in. New? See where to download it and installing and signing in.
- Gmail or Outlook connected.
1. Pick a few categories
Start with 3-5: Orders, Support, Invoices, Newsletters, Spam-ish. Fewer categories mean fewer mistakes.
2. Gmail labels vs Outlook folders
Gmail uses labels (an email can have several). Outlook uses folders (one place) and categories (colored tags).
3. Try it once
- Ask:
Look at my last 50 emails and suggest a category for each. Don't change anything yet.
- Check the suggestions and correct mistakes.
- Then: "Apply those labels."
4. Make it a routine
"Every hour, label new mail using the categories we agreed." See Routines. Save the rules as a skill so they stay consistent (Skills).
5. Don't delete
Have the bot label or move, not delete. You can always undo a label.
Ideas to try
- Online seller.
Label order confirmations 'Orders' and customer questions 'Support'.
- Household.
Put utility bills in an 'Bills' label and remind me of due dates.
- Job seeker.
Label emails from recruiters 'Jobs'.
- Clean inbox.
Move newsletters older than 2 weeks into 'Read later'.
Tips
- Review the sorting weekly at first.
- Keep rules simple and written down in a skill.
- Never auto-delete.
