New-order alerts Beginner
Get pinged by email, text or chat the moment an order comes in.
What you'll learn
- Two ways to get alerts
- Setting one up
Before you start
- The Grok Bot app, installed and signed in. New? See where to download it and installing and signing in.
- Your store connected, either with a connector (like Shopify Merchant) or its API (see platform comparison).
1. Two ways
- Scheduled check: a routine asks the store "any new orders?" every so often. Easiest.
- Webhook: the store notifies right away (webhooks). Faster, needs a bit of code.
2. Easy version: a routine
- Test once: "List orders from the last hour."
- Set the routine:
Every 30 minutes from 8 AM to 8 PM, check for new orders and tell me in this chat with order number, items and total. Stay quiet if there are none.
- Check the first few alerts against your store admin.
3. Where to get the alert
In the bot's chat by default. Email or text needs a way to send (Gmail, a bot address, or Twilio).
4. Faster version: webhook
Register an order-created webhook (Shopify, WooCommerce order.created, BigCommerce store/order/created) pointing at your bot's code.
Ideas to try
- First sale excitement.
Tell me every time an order comes in today.
- Big orders.
Alert me only for orders over $200.
- Evening digest.
Instead of pings, give me one summary of today's orders at 8 PM.
- Rush items.
Alert me immediately if anyone orders express shipping.
Tips
- Too many alerts get ignored; filter them.
- Always include the order number.
- Test with a real or test order.
