Online Stores / Inventory and low-stock alerts

Inventory and low-stock alerts Beginner

Get one alert when a product drops below a threshold, not a flood of alerts on every sale.

What you'll learn

  • Choosing thresholds
  • The "crossed the line" trick

Before you start

1. Pick thresholds

For each product, decide the number that means "reorder now", like 5 units.

2. Alert once, not every sale

The trick is to compare the new quantity with the previous one. Alert only when it crosses the threshold (was 6, now 5), not every time it's below. Shopify Flow, Shopify's automation tool, uses this kind of comparison in its inventory templates.

3. Steps

  1. Make a sheet with Product, Threshold, Last quantity.
  2. Ask the bot:
Every morning, check stock for products in my 'Stock' sheet. Alert me for any that dropped below its threshold since yesterday, then update Last quantity.
  3. Check the alert against your store.

4. Next step

Ask the bot to draft a reorder email to your supplier, for you to send.

Ideas to try

  • Candle maker.
Warn me when any scent drops under 10 jars.
  • Seasonal.
Raise thresholds for gift items in November.
  • Reorder.
Draft a reorder email to my supplier for low items.
  • Dead stock.
List products that haven't sold in 90 days.

Tips

  • Count "on hand", not including reserved orders, if your platform separates them.
  • Review thresholds every season.
  • Keep the sheet as the single place for thresholds.
